Privacy Policy
Ranktiva ("Ranktiva", "we", "us") is operated by Release Media Inc. ("Release Media"), a Delaware corporation with its registered address at 1207 Delaware Ave #4045, Wilmington, DE 19806, United States. This Privacy Policy explains what information we collect, how we use it, how we protect it, and the choices you have. It applies to the ranktiva.com website, the Ranktiva platform and dashboard, the Ranktiva connector for Claude, and any related services (together, the "Service").
We wrote this policy in plain language on purpose. If anything is unclear, contact us at .
1. Who this policy covers
- Visitors to ranktiva.com, including people who join our waitlist or request an invitation.
- Customers: the agencies and professionals who hold a Ranktiva account.
- End clients: the businesses whose websites and accounts our customers connect to the Service. We process end-client data on behalf of our customers, under their instructions.
If you are an end client of an agency that uses Ranktiva, your relationship is with that agency. Requests about your data should go to the agency first; we will support them in fulfilling it.
2. Information we collect
Information you give us directly
- Waitlist and invitation requests: name, email address, and any details you choose to share about your business.
- Account information: name, email, company name, and login credentials.
- Billing information: plan, billing address, and tax details. Payment card details are handled by our payment processors and never stored on our servers.
- Support messages and feature requests you send us.
Information from connected services (with your action and consent)
- Google user data from Google Analytics 4 and Google Search Console, described fully in Section 4.
- WordPress: the connection credentials you configure (application passwords), site content, and the changes made through the Service.
- SEO and platform data: keyword, competitor, backlink, and technical data retrieved from our data providers for the sites you add.
Information collected automatically
- Usage information: playbook runs, credit usage, feature usage, and technical logs needed to operate, secure, and bill the Service.
- Basic device and browser information for the website and dashboard.
We do not collect more than the Service needs to work.
3. How we use information
We use information to:
- Provide, operate, and secure the Service.
- Run the delivery flows you start: research, audits, strategy, content, publishing, and reporting.
- Manage accounts, subscriptions, credits, and billing.
- Send service communications, and (for waitlist members) invitation and launch updates. You can unsubscribe from marketing emails at any time.
- Provide support and act on your requests.
- Improve the Service, using anonymized and aggregated information as described in Section 6.
- Meet legal obligations.
We do not sell personal information. We do not use your data for third-party advertising.
4. Google user data (Google Analytics 4 and Google Search Console)
This section applies to information we receive from Google APIs after you connect a Google account.
How access works. Connections use Google's own sign-in (OAuth 2.0). We never see or store your Google password. We request only read-only scopes, and only for the properties you select. You can disconnect any time from your Ranktiva dashboard, or remove Ranktiva's access from your Google account security settings. Both take effect immediately.
What we access. Read-only reporting data from the GA4 properties you select, and read-only search analytics and index data from the Search Console properties you select.
How we use it. Google user data is used only to provide the user-facing features of the Service: grounding audits and strategies in real performance data, prioritizing keywords, tracking progress, and assembling the reports you send to clients. It is not used for any other purpose.
How we store and protect it. Google user data and OAuth tokens are encrypted in transit and at rest, stored within each customer's own account scope, and accessible only to that customer.
What we never do with it. We never sell Google user data. We never use it for advertising. We never share it with third parties except subprocessors that are necessary to operate the Service (Section 7) under confidentiality obligations. We never transfer it to data brokers or credit agencies. We never use Google user data to train AI or machine learning models, whether generalized or otherwise.
Deletion. When you disconnect a Google account, the Google user data associated with it is deleted from the Service. When you close your account, all of it is deleted.
5. Retention and deletion
- Waitlist data is kept until launch onboarding is complete or you ask us to remove you.
- Account and billing data is kept while your account is active, and afterwards only as long as law requires (for example, tax and accounting records).
- Connected-service data (including Google user data) is deleted when you disconnect the source or close your account.
- Deletion on request. You can request deletion of your identifiable data at any time by emailing . One email is enough. We will confirm completion. Instructions are also published on our Data Deletion page.
6. Anonymized and aggregated information
We create anonymized, aggregated statistics from use of the platform: for example, which strategy patterns lead to better outcomes across many sites, or industry-wide trends in search and AI visibility. This information cannot identify any customer, client, website, or person, and cannot be linked back to them.
We use it to improve our playbooks and quality checks, and we may publish it as industry research. Google user data is excluded from any AI or machine learning model training as stated in Section 4. Anonymized aggregate information is not personal information and may be retained after account closure.
7. Sharing and subprocessors
We share information only with:
- Service providers (subprocessors) that help us run the Service: cloud hosting and storage, payment processing (Stripe and PayPal), email delivery, and our SEO data providers. Each is bound to use information only to provide their service to us.
- Professional advisers and authorities where the law requires it.
- A successor entity if Release Media Inc. is involved in a merger or acquisition, in which case this policy continues to apply to previously collected data.
A current subprocessor list is available on request at .
Note on content production: content writing runs through your own Claude (Anthropic) subscription under your agreement with Anthropic. Ranktiva does not send your Google user data to advertising networks or data brokers.
8. Security
We protect information with encryption in transit (TLS) and at rest, OAuth-based access instead of password storage, per-customer data separation, access controls, and logging. No system is perfectly secure, but we treat the fact that agencies trust us with client accounts as our first design constraint. If a breach affects your data, we will notify you as required by law.
9. International data transfers
We may process data in countries other than yours. Where required, we rely on appropriate safeguards such as standard contractual clauses.
10. Your rights
Depending on where you live (for example, the EU/EEA, UK, or certain US states), you may have the right to access, correct, delete, export, or restrict the use of your personal information, and to object to certain processing. To exercise any right, email . We will respond within the time the law requires. You also have the right to complain to your data protection authority.
11. Children
The Service is for business use and is not directed to anyone under 18. We do not knowingly collect information from children.
12. Changes to this policy
If we make material changes, we will notify account holders by email and update the date at the top. Continued use after changes take effect means you accept the updated policy.
